Terms of Service

1. Definitions

• Service: the KAZENA Books cloud bookkeeping application, including automated document reading (AI/OCR), journal entries, financial reports, and tax calculation.
• User: a person or business that creates an account and uses the Service.
• User Content: data and documents you upload or enter (e.g. receipts, invoices, bank statements, payroll data, client data).
• Account: your credential-protected means of access to the Service.

2. Acceptance and Changes to the Terms

By creating an account or using the Service, you accept these Terms electronically. Under Law No. 11 of 2008 on Electronic Information and Transactions and its amendments, such electronic acceptance is valid and binding.

We may amend the Terms from time to time. Material changes will be notified in the app or by email. Continued use after changes take effect constitutes acceptance of the updated Terms.

3. Eligibility and Account

You must be at least 18 years old or an authorized representative of a business to use the Service.

You must provide accurate information and keep your account credentials confidential. You are responsible for all activity under your account.

Notify us promptly of any unauthorized use of your account.

4. Description of the Service

KAZENA Books is a bookkeeping and financial administration tool. It uses AI/OCR technology to help read documents and produce journals, reports, and tax estimates.

The Service is a tool and is not a public accountant, tax consultant, or legal advisor. Automated results are suggestions and may contain errors; you must review and verify every result before using it for official reporting.

Tax rates and calculation parameters provided are standard estimates and may change with regulations. For certainty, consult a licensed accountant or tax advisor.

5. User Obligations

• Use the Service lawfully and in compliance with applicable laws.
• Ensure you are entitled to process any third-party data (e.g. employee and client data) you enter into the Service.
• Do not misuse the Service, including hacking attempts, reverse engineering, distributing malware, or unreasonably loading the system.
• Do not upload content that is unlawful or infringes the rights of others.

6. Fees and Subscription

The Service may be offered on a subscription basis (monthly/annual). Fees, billing cycle, and features are shown at the time of subscribing.

Subscriptions may renew automatically unless cancelled before the next period. Refund terms are set out in the Refund Policy.

7. Intellectual Property

All rights in the Service, software, trademarks, and design belong to the Company or its licensors. You are granted a limited, non-exclusive, non-transferable license to use the Service in accordance with these Terms.

8. Ownership of User Data

User Content remains yours. You grant us a limited license to process, store, and display it solely to provide and improve the Service, in line with the Privacy Policy.

You may export your data (e.g. CSV/PDF) using the available features.

9. Disclaimer on Automated (AI) Results

AI/OCR features may produce inaccurate account classifications, journals, or figures. We do not guarantee the accuracy of automated results.

Accounting, tax, and legal decisions remain your responsibility. Results do not replace professional advice.

10. Third-Party Services

The Service relies on third-party providers for hosting, database, authentication, and AI/OCR processing (e.g. cloud infrastructure providers and AI model providers). By using the Service you understand that some data is processed by such sub-processors as described in the Privacy Policy.

11. Service Availability and Disclaimer of Warranty

The Service is provided "as is" and "as available". We strive to maintain availability but do not warrant that the Service will be uninterrupted, error-free, or always available.

We may perform maintenance, updates, or discontinue features from time to time.

12. Limitation of Liability

To the extent permitted by applicable law, the Company is not liable for indirect, incidental, or consequential damages, including loss of profit or data, arising from use of the Service.

This limitation does not exclude your rights guaranteed under Law No. 8 of 1999 on Consumer Protection and other mandatory regulations.

13. Indemnification

You agree to indemnify and hold the Company harmless from third-party claims arising from your breach of these Terms or misuse of the Service.

14. Suspension and Termination

We may suspend or terminate accounts that violate these Terms or applicable law. You may stop using and close your account at any time.

After termination, payment obligations already due remain in effect, and data retention/deletion follows the Privacy Policy.

15. Governing Law and Dispute Resolution

These Terms are governed by and construed under the laws of the Republic of Indonesia.

Any dispute shall first be sought to be resolved amicably. Failing that, it shall be resolved through the District Court in the jurisdiction of Jakarta Selatan, without prejudice to resolution through the Consumer Dispute Settlement Body (BPSK) under applicable law.
